Step1: Can the user sign in to Teams?

  •  No →
    • Check Microsoft 365 service status
    • Verify username/password
    • Check license assignment
    • Test sign-in via browser (teams.microsoft.com)
  • Yes → Go to step 2

Step2: Is Teams slow or freezing?

  • Clear Teams cache
  • Restart Teams / system
  • Check CPU & RAM usage
  • Disable VPN (test)

 

Resolved?

  • Yes → END
  • No → Escalate to network/admin team

2. Meeting & Call Issues

 

Step1: Can the user join meetings?

  • No →
    • Check meeting policy
    • Verify calendar sync
  • Yes → Go to step 2

 

Step2: Audio or video not working?

  • Check device selection in Teams
  • Test mic/camera in OS settings
  • Update drivers

 

Step3: Screen sharing not available.?

  • Check meeting policy
  • Verify app permissions
  • Restart Teams

 

Resolved?

  • Yes → END
  • No → Escalate

3. Chat & Notification Issues

 

Step1: Are messages delayed or missing?

  • Check internet stability
  • Restart Teams
  • Sign out and sign in

 

Step2: Notifications not appearing?

  • Check Teams notification settings
  • Check OS notification permissions
  • Ensure Teams runs in background

 

Resolved?

  • Yes → END
  • No → Escalate

4. File Sharing & Collaboration Issues

 

Step1: Can the user upload/download files?

  • No →
    • Check OneDrive/SharePoint status
    • Verify storage quota
    • Test access via browser

 

Step2: Permission denied error.?

  • Check SharePoint permissions
  • Confirm team/channel access

 

Resolved?

  • Yes → END
  • No → Escalate

5. Admin / Policy / Access Issues

 

Step1: Is a feature missing? (recording, screen share, chat)

  • Check Teams policies
  • Check meeting policies

 

Step2: License assigned?

  • No → Assign correct license
  • Yes → Continue

 

Step3: Guest access issue?

  • Verify tenant guest settings
  • Check external access policy

 

Resolved?

  • Yes → END
  • No → Escalate to M365 Admin
